How to reduce size of database.

How can .Moneydance be reduced so I can email the database? Once reduced, how do I prevent it from growing over 20 mb, again?

    Hi Frank

    The yourdatasetname.moneydance folder contains not only your data file but all of your checkpoint (formerly backup) data files.

    You may want to try using the Export process (File > Export...) to export your data file to the MD 2010 format. Doing so will create a data file in the former .md file format.

    You could then try emailing the .md file. If the recipient is using MD 2012, they would need to 'Convert' the .md file to the new .moneydance format.

    Hi Frank,

    To follow up on Kevin N's suggestions, the yourfilename.moneydance folder is larger than the .md files because the checkpoints are stored within the folder as well, so to permanently reduce the size you'd have to reduce the quantity of checkpoints you have by going to File -> Preferences, then the Backup tab, then changing the number of checkpoints saved there.

    Hi Frank,

    1) No, the old/excess checkpoints should be deleted automatically.
    2) The backups are called checkpoints and are stored in the checkpt folder within your yourfilename.moneydance data set folder. Here's our knowledge base article on accessing checkpoints in Moneydance 2012:

    3 & 4) Yes, Moneydance can read data sets from other computers. The yourfilename.moneydance data set folder is technically a folder, so it may not have attached correctly to your email. I would suggest trying to zip it into a zip file first and see if that works--if it can, this is probably the easiest method.

    Alternatively, you can export it to the Moneydance 2010 format (instead of a QIF file, which has a number of limitations that might cause issues with data transfers) by going to File -> Export and selecting Moneydance 2010 for your data format. This will result in a .md file that doesn't include the checkpoints, so it should be smaller than your current data set. The user you send the .md file to will then have to open it with Moneydance and convert the .md file to the Moneydance 2012 format to work with it again, then probably export it again to the Moneydance 2010 format so you can open it.

    I'm, blind copying you a message that is directed to support at Moneydance. I don't want to broadcast your email "in the clear".

    Hal, are you running a Windows machine? The file I'm sending you,
    SigEp Davidson Updated 5-5-2013.moneydance
    is not a file, though it looks to be one to me. It is a "Moneydance Account Book" which is a folder.

    From experience elsewhere I've found Windows machines do not open folders coming from Mac. Problem for me is the "Moneydance Account Book" does not behave as a folder. I can't open the folder to separate a file.

    Thus, if you are Windows the problem is I'm sending you a folder you can't read.

    It's been a decade since I've zipped a file using Stuffit. I'll look into that.

    At least one person I exchange with is on Windows and Windows does not recognize, or cannot open, the .Moneydance folder coming from a Mac. I've no difficulty reading what he sends me.

    What software/process is needed on my side (Mac) to zip .Moneydance?

    Hi Frank,

    To create a zip file, you should be able to simply right click or Ctrl + Click on your yourfilename.moneydance folder/bundle and select Compress yourfilename.moneydance and a zip file of the folder/bundle should be created.
