Archiving using the Personal Finance Software

I am trying to archive details from my Personal
Account( which has secondary accounts for banks, credit cards etc) on a
monthly basis.
I have managed to create a monthly file using the file drop down and archive. The problem is that the file for say Dec 2009 is
providing total values for that month under the secondary account headings
ie banks or credt cards which are not correct and it is not producing the
individual details of income and expenditure during the month, on the these
accounts, in the way that it does in the continuous running Personal Account.

What am I doing wrong?

    It is a week since I raised the problem I am having. I note most other peoples problems seem to involve outside banking connection/download. My problem is purely internal getting the program to archive detailed data collated internally during the preceding month. This should be easy should it not?

    Can one of the overseers give me a couple of minutes to explain my ineptitude?

    See the bug section, there does seem to be some archive bugs in MD 2010 that (I believe) were not there previously.

    I do not quite understand what you are trying to do, but keep in mind that an archive saves all the transactions in the current/open database before a certain date and then either deletes them from the current db, or not, depending on the check boxes in the archive function window. In other words, depending on how you set these boxes when you archived, your monthly archives could be a single months worth of transactions or include transactions from previous months too, and may only include "cleared" ones at that. The important thing to remember is that "keep old transactions" refers to keeping them in the current/open db, vs the archive, and therefore affects what will be saved the next time an archive is done.

    Thanks for your reply. I have been trying to create monthly amounts of
    information on income and spend mostlly spend by archiving as you describe
    clearing the past month from the current account. What has happened is I
    have lost detail from the current account and not been able to transfer that
    information to the monthly account.All I get is a blank page on each monthly
    account. I assume the bug section is in your site?

    If you are wanting reports that you can compare month to month, they are available in the reports section. A few new ones were added in Moneydance 2010, but be sure you have the latest build (735).

    I am also a little confused why you want to archive every month. It would help if you stated why you want to do that. Archiving is usually done every year or two (or even longer in my case). Usually one wants those records readily available for tax reporting.

    Thanks for your reply. I suppose my main reason for wanting to segregate my
    accounts into monthly chunks is that I do not like having a very long string
    of individual expense items on bank and credit card running back 12 months
    in my running account. I would like to be able to match monthly credit card
    /bank statements received, for example, to my own records. I think this
    would be easier to do if my individual bank and credit card accounts, which
    are sub sets of my main account, were broken down into monthly segments.
    Does that make sense?

    Well I also believe there is a bug in archiving right now, so I would at least wait until that is fixed before I took that approach.

    The delay will also give you time to think through your approach. Moneydance (especially with MD2010) has a lot of "filters" (last 30 days, last 60 days, only uncleared, etc) so that you can restrict your view of the register, if you don't want to have a lot of cleared transactions to look at. You also can key in a few characters into the search box and quickly find a given transaction, which can narrow it even more.

    I have always marveled at the speed of Moneydance, and I have 5 years currently active, so I don't think you will have a performance issue. The disk space it takes up is pretty small, so I don't think that would be an issue either.

    One of my main reasons I keep a lot of records in Moneydance is the ability to be able to go back and find an old transaction when I want to. It is sure faster than looking through a bunch of old bank statements. At tax time, it is invaluable, but even at other times, I find myself looking up a purchase for other reasons.

    Also, you may want to get into budgeting down the road, and since budgets can vary month to month (quarterly or semiannual bills, for instance), it makes more sense to do them over a longer period of time.

    When I used Microsoft Money, I felt like I had to archive every couple of years, or the program would get so slow, it was almost unusable. Moneydance is so quick, I don't see a problem with keeping several years in the register. Scrolling is fast, filters are fast, and reporting is fast.

    I strongly recommend you try it a while first, then worry about archiving later.

    I apologize for the delay in response. Randy is correct that there are some issues with the archiving function in the current build, so I would hold back on that until the fix is released (hopefully in the next few weeks). Personally, I archive every year or so, and use the filters to keep my register cleaner and easier to handle at a glance.

    I will post again on this thread when the archiving function has been resolved.

    The "bug" section I referenced is the forum discussion area "Bugs".

    As others have said, you can probably achieve what you seem to be looking for by use of the register filters: the buttons at the top of the register windows.

    MD's archive function, by the way, is a bit lacking in handling of long-term account transactions, like home sales and retirement accounts, which have no time limit for audit and others, like personal property which you may just want to keep indefinitely in your current account. It would be nice if MD had a way to specify its accounts as either long, or short, term for purposes of archiving.

    I believe the archiving function is now fixed. If you are not using the most recent version (2010r2 build 741), please update to that version. You can download the update here. This update has resolved a few key issues our users have been experiencing. Please let me know if your issue persists and we will look into other solutions.
