Transaction Fields

You can create a transaction in any account register (except in a loan account).

Investment accounts have a slightly different set of fields, which are detailed in this article.

Transaction Fields -

All account registers (except investment accounts) have the same format and contain the fields below:

In the screenshot above, you'll see the transaction field headings displayed at the top -
Date, Tax Date, Cheque#, Description, Memo etc.

The relevant field is displayed below the heading and contains an example of the data you can enter.
Each field is numbered, with a summary below explaining the field in more detail -
 

  1. Date
    The date on which the transaction occurs.

  2. Tax Date
    The date of the transaction for tax purposes, if different from the normal transaction date.
    This is only displayed if you have enabled “Separate Tax Date for Transactions” within your General preferences.

  3. Check#
    Selecting {Print} will include that transaction when printing checks.
    Selecting <NextCheck#> will insert the next sequential check number for that account.
    You can follow the steps in this article to amend the items you see when you select the Check field.

  4. Description
    This is the person or entity who receives or gives the funds.
    Address book entries are prefaced by a green @ symbol.
    Transactions with an attachment assigned display a paperclip icon.
    The status of your downloaded/imported transactions is also shown in this field -

    • Unconfirmed transactions display a solid blue dot.
    • Confirmed transactions display a blue circle.
  5. Memo
    This field includes any additional information and/or general notes.
    The exact dividing line between Description and Memo is mainly one of personal taste or financial institution download format.

  6. Category
    This is the "other side" of the transaction, where you'll usually enter a category.
    To make a transfer between accounts (e.g. from savings to a checking account) the other account should be selected in the Category field.

  7. Tags
    You can enter any tags you wish to assign to the transaction for an additional level of tracking.

  8. C
    This field displays the transactions cleared (reconciled) status -

    • A blank space indicates the transaction is uncleared.
    • An orange diamond indicates it is reconciling.
    • A green circle means the transaction is cleared.
  9. Payment
    This is the amount removed from the account you're viewing, and added to the account or category specified in the Category field (described above).
    In a credit card account, this field is titled "Charge".

  10. Deposit
    This is the amount added to the account you're viewing, and removed from the account or category specified in the Category field (described above).
    In a credit card account, this field is titled "Payment".

  11. Rate
    This field displays the exchange rate for cross-currency transactions.

  12. Foreign Amount
    This field displays the exact amount of the other currency used in a cross-currency transaction.
    You can manually amend the rate displayed in this field.

  13. Balance
    The current balance of the account, after the transaction has been applied.
    This field is not editable.
     

Single/Two Line Mode -

You may wish to enable "Single Line Mode".
This changes the account register so that transactions are only displayed on one line.
The following fields are hidden - Tax Date, Memo, Tags, Rate, Foreign Amount.

To do this right-click (or press Ctrl and click) in the account register.
This will display the context menu.
Select "Single Line Mode".

You can return to the default view at any time.
Follow the same steps to access the context menu.
Then select "Two Line Mode".
